Who we are
The Wellington Agency, LLC places household, estate, and executive staff. We are at 2008 S Shore Blvd #209, Wellington, Florida 33414, and serve clients all over the United States.
This policy explains what we collect through thewellingtonagency.com and through our placement work, what we do with it, and what you can ask us to do.
What we collect
- What you send us: your name, email, phone, and the substance of your inquiry or application — work history, résumé, references, certifications, and, for candidates, right-to-work and background screening information you have authorized.
- What the website records: IP address, device and browser, pages viewed, where you came from, and the fact that you submitted a form.
- What others tell us: references you nominate, screening providers you authorize, and referrals from clients.
Cookies and tracking on this site
Three kinds of technology run here: what is necessary to deliver pages and carry your message to us; analytics that show how the site is performing; and advertising tools that show which campaigns produced an inquiry. We keep a current list of the specific providers and will send it to you on request.
These record page views, campaign source, and the fact that a form was submitted. They do not record what you type into a form unless you have specifically consented, and they never receive client household records or candidate files, which sit in separate access-controlled systems.
You choose. Non-essential cookies do not load until you accept them, and you can change your mind any time through Cookie Preferences in the footer. We honor Global Privacy Control signals. Declining changes nothing about how we handle your inquiry or your application.
Calls and messages
We use third-party service providers (vendors) to support our communications, including Dialpad. Dialpad is an AI-powered communications platform that connects companies via phone, video, and messaging, and may support conversations through call recording and transcription.
Recordings and transcriptions are collected based on consent. Where a call will be recorded or transcribed we tell you at the start of the call, and you may decline — declining has no effect on your inquiry, your engagement, or your candidacy. Recordings and transcripts are confidential engagement records, limited to the people working on the matter, and kept for the period set out below.
Dialpad appears in our list of sub-processors, with its processing activity described as telephony, messaging, and AI-enhanced customer experience management. Dialpad's own privacy policy is at dialpad.com/legal.
Please don't send us sensitive information through this website
Our web forms are for starting a conversation. They are not a secure channel. Please keep the following out of them: children's names, ages, schools or schedules; home addresses, security arrangements, or travel plans; medical or financial information; Social Security, passport or license numbers; payroll records; photographs of a residence.
When we need any of that, we ask for it through a secure portal or directly with your placement lead. If you have already sent something sensitive through a form, write to [email protected] and we will remove it and confirm.
What we do with it
We use it to answer your inquiry, evaluate and present candidates, run authorized reference and background checks, administer and invoice engagements, communicate with you, send marketing if you have opted in, measure whether our advertising works, secure our systems, and meet our legal obligations. We do not use client or candidate information to train AI models, and our vendors are not permitted to use it to train theirs.
Who we share it with
- Service providers — hosting, telephony, applicant tracking, screening, email, e-signature, payments, professional advisors. Each is contractually limited to working for us.
- Between clients and candidates, which is the service itself. We do not send a candidate's file to a client without the candidate's authorization, and we do not name a client household to a candidate before there is mutual interest.
- Advertising and analytics providers, but only the website activity described above. Some state laws call that a "sale" or "share" even though no money changes hands, so we say so plainly. You can opt out.
- Where the law requires it, where we need to defend a legal claim, or to a successor if the business is sold.
We do not sell personal information for money. We do not give client or candidate records to advertisers, data brokers, or list resellers. We do not name clients in marketing without written permission.
How long we keep it
| Record | Kept for |
|---|---|
| Website analytics and advertising data | 12 months |
| Inquiries that don't become engagements | 24 months |
| Call recordings and transcripts | 18 months |
| Candidate files, not placed | 4 years, or sooner on request |
| Placed candidate and client records | 7 years after the engagement ends |
| Background screening reports | The minimum the law requires |
| Payroll and tax records | As required by law, at least 6 years |
Confidentiality, security, and your choices
Household information, staff files, and placement terms are confidential and limited to the people working on the engagement. Our staff and placed candidates sign confidentiality agreements. We protect information with access controls, encryption in transit, vendor diligence, and regular review of what runs on our site. No system is perfect and we don't claim ours is; if there is a breach, we notify people as the law requires.
You can ask us what we hold about you, ask us to correct or delete it, withdraw cookie consent, unsubscribe from marketing, or close your candidate file. Depending on where you live you may have further rights, including opting out of targeted advertising — we extend the core rights to anyone who asks, wherever they live. Write to [email protected].
Odds and ends
This site is not directed to children and we do not knowingly collect information from anyone under 16 through it; candidates must be 18 or the minimum lawful age for the role. We are not responsible for sites we link to. We operate in the United States and process information here. We review this policy at least once a year, update the effective date when it changes, and give prominent notice before any material change takes effect.
